How to Guide
This guide intends to serve as the canonical how-to for users of the ADC Theatre's new room booking system. The system can be used to view upcoming auditions, meetings, rehearsals, performances and other events at rooms in the ADC Theatre as well as the Corpus Playroom. It can also be used by certain people, typically a show's director/producer or a society's committee, to make bookings as well.
The new system replaces the old one and can be found at https://roombooking.adctheatre.com.
Checking previous, current or upcoming bookings is easy and can be done by anyone anywhere in the world without logging in to the site. There are two methods: viewing a particular room's upcoming bookings in a calendar view or viewing a list of all recently made bookings.
- The site homepage shows an brief overview of all rooms at the present moment.
- Clicking on a room will take you to a calendar overview of that room for the next week. Please note that ADC show weeks run Sunday to Saturday and the calendars on the site follow this convention.
- Clicking on a booking will take you to that booking's detail page which shows additional information such as its purpose and the name of the person who made that booking.
- Clicking the 'Bookings' link in the navigation bar will take you to a list of the most recently submitted bookings, regardless of their room. It also shows a list of your favorite bookings, determined by how often you view a particular booking's page on the site.
A person may make a booking on behalf of a show for meetings, auditions or rehearsals, and on behalf of some societies for committee meetings, provided that they are a Camdram admin for that show or society. If you need to make a booking for something other than a meeting, audition or rehearsal, or are for some reason unable to make bookings, please speak to a member of ADC Management. Otherwise please follow the steps below:
- First, check with ADC Management that your show has been activated. This process needs to be performed by a member of Management before you can start making any bookings.
- Login using your Camdram account. If this is your first time logging in you will be asked to give your consent for some basic information to be shared between Camdram and the room booking website (see the Privacy Policy for more information).
- Navigate to the new bookings page in your web browser, fill in the form and submit to make your booking. Please note that dates and times are always in the UK's time zone and not that of your computer.
- All shows have a weekly quota which they cannot exceed. By default, shows are allowed a maximum of 12 hours of rehearsals, 10 hours of auditions and 4 hours of meetings per week. Please speak to ADC Management if you wish to request an increase in your show's quota.
- Bookings which overlap or which exceed a show's quota will be rejected with an error message. Check your booking times/dates carefully, especially if your booking is scheduled to repeat.
- Please note that all bookings will be displayed publicly together with the name of the person who made each booking.
Please get in touch with ADC Management. They will most likely be able to help you with whatever it is that you're trying to do.
If you think you've found a software bug or something which doesn't appear to be working correctly then please head over to GitHub and create a new issue with as much detail as possible about the problem you are encountering. Most problems are detected automatically by error reporting software and are fixed quickly however manual reports are also helpful!
